Terms and Conditions
Detailed in this document are the terms and conditions of reserving a room and staying with Cave Hotels. When you reserve a room with us you agree to the terms and conditions herein. On arrival you confirmation of entry implies your consent to abide by said terms and conditions. Please take your time to read through them carefully. Terms and Conditions of online golf tee time bookings are covered at the bottom.
We reserve the right to amend these terms and conditions at any time without notice, we therefore recommend that you check them each time you book.
Securing your booking
Regardless of your method of booking, you will be asked to provide a credit or debit card to secure your reservation. Cave Hotels Ltd accepts Visa, Mastercard and American Express to secure a reservation. The expiry date of your card must be later than the date of departure of your reservation.
You must ensure that the information you have provided while making your reservation is accurate before you confirm your reservation. If you think you have made a mistake or you need to amend any details in a reservation, please contact us to discuss this.
Cave Hotel and Resort is a licensed premises and therefore reserves the right to refuse entry or cancel a reservation solely at its own discretion. As a licensed premises the Cave Hotel and Resort reserves the right to ask any guest to vacate the premises at its own discretion.
Check In & Out
Rooms are available for check in from 15:00pm daily and check out is by 11:00am on the day of departure. We cannot guarantee an early check in or a late check out. If this is available there will be a charge to be paid. If you do not vacate your room by 11:00am on the day of departure, please note you may be liable to a late check out fee.
If you think that you will arrive later than 23:00pm, please call us directly on 01227 752277 to let us know when you believe you will arrive.
A discretionary service charge of 12.5% will be applied to all food and beverage ordered and supplied by the Cave Hotel and its restaurants and bars.
Upon check in, overseas guests, excluding those from the Republic of Ireland and Commonwealth citizens, will need to provide reception with their identity card/passport details.
A reservation of 6 or more rooms is considered a group booking with Cave Hotels Ltd. If you wish to make a group booking, please contact our sales team on 01227 752277 to discuss.
Please note that a group booking is required to pay a deposit 28 days prior to arrival. Should you wish to cancel your group booking after this date, this deposit will be non-refundable. However, you are free to cancel free of charge beforehand. If you do not pay you deposit, we reserve the right to cancel your reservation with immediate effect and we will notify you of this via letter or email.
Cancellations & Non-Arrivals
Rooms booked on a flexible rate may be cancelled free of charge before 13:00pm the day before you are due to arrive at the hotel.
Should you cancel after 13:00pm the day before your arrival, or if you do not arrive for your reservation at all, you will incur a ‘late cancellation fee’ of the first nights accommodation of your reservation plus the cost of any meals and other extras booked for the first night of your stay. This is to compensate the hotel for the late cancellation.
The above applies to early departures.
Group bookings will have different cancellation terms. Please see the ‘Group Bookings’ section for full information.
If you do not pay for your room when you need to, we reserve the right to cancel your reservation with immediate effect. Should we need to cancel your reservation, we will notify you in writing by letter or email.
From time to time, there may be extenuating circumstances which mean we need to cancel your reservation. This would be a time where the hotel is unable to accommodate people, for example in the case of: flooding, fire, water shortage or emergency evacuation. Should this type of incident occur, we will contact you at the earliest possible opportunity.
At Cave Hotels Ltd we operate using dynamic pricing. This means that our rooms rates change according to demand. This may mean that if you stay for more than one night, each night may be at a different cost. When you make a reservation, you will be quoted a price and this is the amount that you will pay.
All room prices are quoted inclusive of VAT.
Occupancy of a Room
The maximum occupancy for our Cave Rooms, Accessible Cave Rooms, Bridal Suite is 2 adults. In our Family Cave Rooms, Junior Suites, Signature Suites and Presidential Penthouse the maximum occupancy is 2 adults and 2 children. Children are classed as being 16 or under.
Children aged 16 or under are not permitted to stay in a room on their own.
Cave Hotels Ltd operates a strict no smoking policy. This includes the smoking of e-cigarettes. Smoking in your room or any of the public areas at Cave Hotels Ltd will result in a £250 fine payable immediately. There are designated smoking areas on site, and these should be used for smoking only.
Our Expectations of You
We expect our guests to treat the premises its staff and other guests with respect.
You should not:
– Damage any soft furnishings, furniture, fixtures or fittings
– Remove any soft furnishings, furniture, fixtures or fittings
– Use any electrical appliances that may set of the fire alarm
– Tamper with the fire alarms or emergency equipment.
Doing any of the above will result in a fine to make good any such damage or loss. The payable fine for tampering with the fire alarm is £250. Fines for other damages will be decided upon assessment of damaged caused.
If you behave in such a way to cause unnecessary disturbance or disruption to other guests or staff, we reserve the right to cancel your reservation and any future reservations with immediate effect.
You are welcome to make special requests for specific room types, and we will do our best to meet these requests. However please note that we cannot guarantee any special requests.
Cave Hotels Ltd will allow residents to stay with dogs in our accessible rooms only. This is with the exception of assistance dogs. Any damage caused by dogs staying in rooms will result in an appropriate charge payable with immediate effect.
How to pay
On arrival you will need to present a credit or debit card and a pre-authorization amount will be taken from your card. This amount will be equal to the total rate owed, plus an additional £100 per night for any additional items that may be consumed on site.
You may charge the purchase of goods and services, such as food and beverage, to your room during your stay. You will be liable to pay for these services in full upon receipt of the Hotel bill or when you check out. If you choose to check out without settling your bill in full, you will be authorizing us to charge your credit or debit card used at the time of check in. This includes any damages or losses from the hotel.
Your bill will need to be settled upon departure. Payment can be made by cash (with proof of identification) or by credit or debit card. We accept Visa, Mastercard or American Express.
Cash ID accepted includes UK Driving License, Passport, Police Warrant Card, Utility Bill
Online Golf Tee Time Bookings
To book a tee time on-line you will have to enter your credit or debit card details using our secure on-line payment process.
We will take the full green fee and your booking will be confirmed by email.
When you arrive for your round of golf, you should report to the Golf Reception before beginning your round and show your booking confirmation details. Please note that the Golf shop opens between 7am and 7pm.
If you cancel your booking more than 24 hours before your date of play there will be no charge and the full amount can be refunded by emailing firstname.lastname@example.org.
If you cancel your booking less than 24 hours prior to the tee off time there will be a charge of 100% of the green fee made to your credit / debit card.
Failure To Cancel Your Booking
If you fail to cancel your booking, there will be a charge of 100% of the green fee made to your credit/debit card.
Alteration of Tee Time
Cave Hotels reserves the right to move your tee time if required subject to discussions with the player.
If you are unable to play your round of golf due to the course being closed (e.g. bad weather), we will hold any amount paid and offer an alternative date, should the date be unsatisfactory we will offer a full refund.
Conditions of Play
o Treat the golf course with respect. Please repair any divots or pitch marks that you come across or have made yourself. Leave bunkers as you hope to find them.
o The white tees are for competition use only.
o When on the course please keep up with the group in front. Please let the players behind through if you are unable to keep up with the group ahead.
o Our course carries pace of play guidelines, these are detailed on the scorecard.
o Please respect all other golfers on the course.
o Please use the bins provided on the course for your litter.
o Dress code (Championship Course)
Collared or turtle neck shirts with sleeves.
Full length trousers or tailored shorts
Ladies may wear golf skirts, mid-length trousers and sleeveless shirts.
We advise that golfers should wear golf shoes
o We have a ‘next time’ policy with our dress code.
o In the event of a thunderstorm, the responsibility is with the golfer as to whether to continue playing or not.
o In you have any problems on the golf course, please do not hesitate to phone the shop on 01227 752277 and someone will come onto the course to assist. Alternatively please speak to the golf team and we will be happy to help.
o Please do not touch the flagsticks. There are stoppers in the holes to stop the ball dropping all the way down.
o All rakes have been removed from the bunkers. Once you have played your shot please brush over with your foot or club to make the bunker as smooth as possible.
o In a bunker the ball may be placed within 6 inches of where it originally lay.
o All marker posts on the course are now Immovable Obstructions. Please do not touch or move any posts but take relief of one club length from the nearest point of relief, no nearer to the hole, only if the marker post interferes with your swing or stance.
o Please do not shake hands with players at the end of the round and please respect social distancing guidelines at all times.
