Booking Terms and Conditions

When you reserve a room with Cave Hotels, you will be asked to confirm that you agree with our terms and conditions. Please take your time to read through them carefully. We reserve the right to amend these terms and conditions at any time.

Reservations:

Regardless of your method of booking, you will be asked to provide a credit or debit credit card to secure your reservation. Cave Hotels Ltd accepts Visa, Mastercard and American Express to secure a reservation. The expiry date of your card must be later than the date of departure of your reservation.

Please check that the details you supply are complete and accurate before you confirm your reservation. We will not be liable for any delay or non-performance if you provide us with incorrect information.

You must be at least 18 years old to make a reservation. Anyone staying at the hotel under the age of 18 must be accompanied by an adult. A valid I.D may be requested upon check in.

Rooms are available for check in from 3pm and check out is at 11am on the day of departure. We cannot guarantee an early check in or late check out. Where late check out is available upon request, there will be a charge of £50.00. If you do not vacate your room by 11am on the day of departure and no prior arrangement has been made, you will be liable to a late check out fee of £50.00 per hour.

If you think you will arrive later than 11pm on the day of your check in, please call us directly on 01227 752277 to let us know your expected time of arrival.

Registration:

Upon check in, overseas guests, excluding those from the Republic of Ireland and Commonwealth citizens will need to provide reception with their identity card/passport details. Cave Hotels Ltd reserve the right to require a proof of identity from all persons checking in.

Cancellations & Non-Arrivals:

Rooms booked on a flexible rate may be cancelled free of charge before 3pm the day before you are due to arrive at the hotel. Room rates booked on an Advance purchase or Special offer rate is non-refundable and non-amendable at time of booking.

As part of the Flexible rate, should you cancel after 3pm on the day before your arrival, or if you do not arrive for your reservation at all, you will incur a late cancellation fee equivalent to one night’s accommodation of your reservation, plus the cost of any additional extras you may have added to your booking. This is to compensate the hotel for the late cancellation. The same policy also applies to early departures.

If you do not pay for your room when you are required to do so or break your contract in any way, we reserve the right to cancel your reservation with immediate effect. Should we need to cancel your reservation, we will notify you in writing by email.

From time to time there may be extenuating circumstances which mean we need to cancel your reservation. This would be a time where the hotel is unable to accommodate people, which may include but is not limited to situations such as flooding, fire, water shortage or emergency evacuation. Should this type of incident occur, we will contact you at the earliest possible opportunity.

Room prices:

Cave Hotels Ltd operate using dynamic pricing. This means that our room rates change according to demand. This may mean that if you stay more than one night, each night may be at a different cost. When you make a reservation, you will be quoted a price, and this is the amount that you will pay.

All room prices are quoted inclusive of VAT. If the rate of VAT changes between the date of reservation and the date of your stay we may adjust the rate of VAT but the price you pay will remain the same.

Occupancy:

You must not exceed the maximum occupancy for the room allocated to you. We reserve the right to conduct checks on occupancy. Occupancy is not transferable.

Children under 18 are not permitted to stay in the hotel unless a parent or guardian is also staying in the hotel. We reserve the right to request valid photographic proof of identity and age.

Smoking Policy:

Cave Hotels Ltd is committed to providing its guests and associates with a smoke free environment. This includes the smoking of e-cigarettes. Smoking in your room or any of the public areas at Cave Hotels Ltd will result in a £250.00 fine, payable immediately. There are designated areas on site to accommodate the needs of guests who smoke.

Cave Hotels Ltd operates a zero-tolerance policy on usage or possession of drugs and any illegal substances. Possession or use will result in you being asked to leave the premises, without a refund.

Guest Behaviour:

We expect our guests to treat the premises, its staff and other guests with respect. You should not damage or remove any soft furnishings, furniture, fixtures, fittings or carpets. Please do not tamper with the fire alarms or emergency equipment.

Doing any of the above may result in a fine to make a good any such damage or loss. The payable fine for tampering with the fire alarm is £250.00. Fines for other damages will be decided upon assessment of damage caused. If you behave in such a way to cause unnecessary disturbance, disruption or annoyance to other guests or staff, we reserve the right to cancel your reservation and any future reservations with immediate effect.

Special Requests:

You are welcome to make special arrangements for your room with us directly. This may include but is not limited to items such as balloons or refreshments. We will do our best to meet these requests with our partner suppliers by prior arrangement. However please note if you would like to hire an external supplier, we reserve the right to add an additional cleaning fee to your final bill where deemed appropriate.

Pets Policy:

Cave Hotels Ltd will allow residents to stay with their dog in our Cave Room and Superior Cave Room on the ground floor at the surcharge of £50. Dogs can join you on our decking area, reception lounge and cowgirl lounge. Any damage caused by dogs staying in rooms will result in an appropriate charge payable with immediate effect. Cave Dog package includes a comfy bed, towel, water and food bowls.

Payments:

On arrival you will need to present a credit or debit card and a pre-authorisation amount will be taken from your card. This amount will be equal to the total rate owed, plus an additional £150 per night for any additional items that may be consumed on site.

Please note that bookings made on our advance purchase or special offer rate will require full payment of the accommodation element at time of booking, with the pre-authorisation as above taken on arrival at the hotel.

You may charge the purchase of goods and services, such as food and beverage, to your room during your stay. You will be liable to pay for these services in full upon receipt of your invoice at check out. If you choose to check out without settling your bill in full, you will be authorising us to charge your credit or debit card provided at the time of check in. This includes any damage or losses if deemed appropriate. A discretionary service charge of 12.5% will be applied to all food and beverage ordered and supplied by the Cave Hotel and its restaurants and bars.

Your invoice will need to be settled prior to departure. Payment can be made by cash, with proof of identification, or by credit or debit card. We accept Visa, Mastercard and American Express. Identification can include a UK driving license, passport, police warrant card, utility bill or a national identity card.

Allergens:

While we strive to minimise the risk of cross-contamination, please be aware that our kitchen handles a wide variety of ingredients, and trace amounts of allergens may be present in any dish. We take precautions to prevent cross-contact, such as using separate cooking utensils and surfaces, but we cannot guarantee that any dish is completely free of allergens. Due to a majority of our dishes containing sesame in some form, whether it’s included in the sauces, marinades or as a garnish. We would strongly advise any sesame allergy to discuss options directly with a head chef prior to booking.
